Job Description

Are you someone with previous experience as an Executive Assistant or an Administrator?

Do you have excellent organisational skills and proficient with Microsoft Applications? 

Do you have experience supporting multiple Senior Managers? 

Our client is an incredibly reputable business based in Leamington Spa that offers a variety of services to individuals or companies. The business specialises in delivering these goods through specialised departments. They are looking for an Executive Assistant to come on board with their friendly, easy-going team based in Leamington Spa, Monday-Friday, 9am-5pm. The ideal candidate will have strong administrative skills to support the Managing Director, Business Development and HR Manager. Key Responsibilities:

  • Provide support to the Managing Director, managing diaries, travel expense forms and other commitments.
  • Prepare and organise relevant documents ahead of meetings and taking minutes.
  • Support with the organisation of internal events and its attendance, when required at exhibitions and shows.
  • Assist with keeping the website updated with articles, blogs, staff profiles and photos.
  • Organise photographers for website updates or events.
  • Provide assistance with new starters; forms, references and adding details onto internal systems.
  • Order and monitor business stationary items, such as business cards, leaflets and other promotional materials.
  • Assist with compliance & audits, ensuring the correct actions have been undertaken and record actions on spreadsheets for analysis.
  • Support with administrative tasks in preparation for audits.
  • Provide administrative support to the Business Development Manager and HR Manager as and when required.

Key Skills & Experience:

  • Previous experience working in an administrative role supporting multiple people.
  • Desirable if you have worked in a professional services environment.
  • Ability to multi-task, handling own workload whilst supporting where necessary.
  • Strong problem-solving, organisation, and planning skills with an eye for detail.
  • Excellent communication skills both internally and with customers.
  • Commitment to being a team player.
  • Computer literate.
  • Analytical skills with the ability to interpret data and provide recommendations.

Additional Information:

  • Monday-Friday, 8:30am-4:30pm or 9am-5pm (open to discussion).
  • Office based: Leamington Spa. Occasional travel to other sites.
  • Must have a UK Driving Licence and access to a vehicle.
  • 23 days annual leave (increasing to 27 days with length of service).
  • Office Closure between Christmas and New Year (1 day’s holiday must be allocated).
